Pet Boarding Check-Ins Must Be Digital

After on ground conversations with over 200 businesses, for most pet boarding facilities, repeat customers aren't just nice to have, they're THE business. A 2026 benchmarking survey of 457 pet care operators found that more than half generate 75% or more of their monthly revenue from repeat customers.

That makes one part of the customer journey particularly very important, the check-in process, and yet, check-in is often treated as a five-minute formality (Ask for the pet's name, confirm the dates, take the food, get a few instructions and done. Except it isn't).

For a boarding business, check-in is the first real operational handoff between the pet parent and your team. And when that process is inconsistent, it can create an experience that affects whether the customer trusts you enough to come back.

The Assumption Most Boarding Owners Make About Check-In

Check-in happens so often that it's easy to stop thinking about it.

Your regular customers know the team. Your staff knows the regular pets. Someone remembers that Bruno doesn't eat after 8 PM. Someone else remembers that Luna needs her medication with food.

So the process becomes, "Don't worry, we know Bruno."

And when you're running a small boarding facility with a familiar team, that might work. Until someone is on leave or you hire a new employee, that's when "we know the regulars" becomes a very fragile operating system.

Why That Assumption Is Costing You Bookings

Check-in is more than collecting information. It's the last direct interaction the pet parent has with your team before leaving their pet with you.

It's also one of the first signals they get about how organized the business is. If the staff asks the same questions repeatedly, can't find previous instructions, gives different answers, or isn't sure who is responsible for a particular pet, the owner notices.

And they're not necessarily thinking: "Their check-in process needs better documentation."

They're thinking: "If they're this disorganized at the front desk, what is happening with my dog inside?"

Even if the actual boarding experience is perfectly fine, the perception has already been created and when a business depends heavily on repeat bookings, that matters.

What Inconsistent Check-Ins Actually Look Like

Inconsistent Pet Boarding Check-Ins

The problem isn't always obvious. There doesn't need to be a major mistake for the process to break down. Small inconsistencies accumulate.

Different Staff, Different Answers

One employee tells a pet parent that late pickup is charged one way. Another gives them a different answer. One staff member asks about feeding instructions every visit. Another assumes the previous instructions are still valid. None of these might seem like major problems individually. But to the customer, it creates uncertainty.

A standardized process means the experience doesn't depend on which employee happens to be standing at the counter.

Feeding and Medication Notes Living in Someone's Memory

This is probably one of the biggest risks of informal check-ins. "She eats twice a day", "Give him half a tablet", "He's nervous around large dogs."

These aren't casual details. They're part of the care instructions for that pet. When those instructions live in someone's memory, WhatsApp messages, paper forms, sticky notes or a notebook behind the desk, there's no reliable single source of truth and when information is important enough to affect how you care for a pet, it shouldn't depend on someone's memory.

No Visibility Into Who Checked a Pet In

A simple question can become surprisingly difficult, "Who checked this pet in?"

If there isn't a proper record, managers have to piece together what happened from conversations, messages and staff memory. That becomes even harder when you have multiple employees or locations. A proper system should tell you what happened, when it happened and who handled it.

The Fix: Making Check-In a Repeatable System, Not a Habit

The answer isn't necessarily hiring another person at the front desk. It's making the process repeatable. Your best employee shouldn't be the only person who knows how to check in a pet properly. The system should.

Centralize Pet Profiles and Care Notes

Every pet should have a profile containing the information your team actually needs, like previous stays, feeding instructions, medication, vaccination information, and more important details.

Instead of asking the same questions every time, your team starts with the information already available and if something has changed, the latest information can be updated.

This also gives your team context before the pet even arrives.

Standardize the Front-Desk Script

You don't need a robotic script. You need a consistent checklist.

For example: Arrival → Confirm booking → Verify owner details → Confirm feeding → Confirm medication → Confirm special instructions → Record check-in → Assign accommodation → Notify relevant staff.

The exact workflow will differ between facilities. The principle doesn't. The experience shouldn't depend on which member of staff is working that day.

Take Check-In Off Paper

Digitized Pet Check-In

Paper forms aren't inherently bad. The problem is what happens after the form is filled. Where does it go? Who can access it? How do you find it six months later?

A digital check-in process turns that information into something the entire team can actually use. That's where pet boarding software becomes more than a booking calendar.

With Happy Pet Tech, pet businesses can maintain centralized customer and pet profiles, care information and operational records so staff don't have to rely on scattered paperwork or memory. The goal isn't to add technology to the process. It's to remove the unnecessary work around it.

"My Staff Already Knows the Regulars."

We hear this kind of thinking often and honestly, it makes sense.

If you've got one facility, two staff members and a group of regular customers, your team probably does know the pets. But that's not the real test.

The real test is, what happens when the business grows? Open a second location? Get 20 pets arriving on the same evening? Good systems aren't built because your current team is incapable, they're built because your business shouldn't depend on individual memory to function.

The goal is to make your best processes repeatable by everyone.

The One Metric to Watch: Repeat Booking Rate

Boarding businesses track occupancy, they track revenue, average booking value. But there's another number worth watching closely, repeat booking rate.

Because getting someone to book once and getting them to trust you enough to leave their pet with you again are two different things. A smooth check-in won't guarantee a repeat booking, but a chaotic check-in can contribute to a customer's perception of the entire experience.

And when repeat customers make up a significant portion of revenue for many pet care businesses, every part of that experience deserves attention.

The question isn't if your staff can check a pet in. It's whether every member of your team can deliver the same check-in experience, every single time. That's the difference between a process that works and a process that scales.

Is a Bad Check-In Experience Really Enough to Lose a Repeat Customer?

Losing Customers Because Of Bad Check-In Experience

Not necessarily on its own. A customer's decision to return is influenced by the entire experience, the quality of care, communication, pricing, convenience, trust and many other factors. But check-in is one of the earliest and most visible operational touchpoints.

If the process repeatedly creates confusion or makes owners question whether their instructions are being handled properly, it can affect their confidence in the business.

For a business built around repeat customers, that's worth fixing.

What Should a Consistent Pet Boarding Check-In Process Include?

At minimum, your process should consistently capture:

  • Customer and pet information
  • Booking details
  • Feeding & Medication instructions
  • Behavioural or special-care notes
  • Emergency contact information
  • Check-in and check-out times
  • Any changes from the pet's previous stay & more

The exact process will depend on your facility, but the important part is that the information is centralized, accessible and consistent.

How Can Small Boarding Facilities Standardize Check-In Without More Staff?

Start with the process you already have. Write down every step that happens during a typical check-in. Then ask:

What information is being collected?Where is it stored?Who needs access to it?What is currently dependent on memory? What happens when the usual staff member isn't there?

You may find that the solution isn't more people. It's fewer manual steps. A digital pet profile, standardized check-in workflow and centralized care information can give a small team the structure of a much larger operation without adding unnecessary administrative work.

Your Check-In Process Is Part of Your Product

Pet parents aren't only paying you for a kennel, a room or a night's stay. They're paying for peace of mind and peace of mind starts before you even take the leash.

A consistent check-in tells the owner:

We've got the details. We've got your pet's information. We've got a process and we've got this.

That's a much stronger message than: "Don't worry, I think someone told me about that."

Conclusion

If your boarding business is still relying on paper forms, WhatsApp messages, staff memory and spreadsheets to manage check-ins, it might be time to rethink the process. Opt for Happy Pet Tech and set your processes into action. The goal isn't just to board more pets. It's to build a business that pet parents trust enough to come back to.
